Panama City Insider is operated by Phoenix Global Services LLC ("we," "our," "us"). Our services are primarily provided in Panama. The Wyoming address is our company correspondence address, not a representation that services are delivered from a Wyoming office.
This Policy explains our handling of personal information in connection with our website, inquiries, bookings, private orientation services, free e-book and email communications.
2. Information we collect
When you contact us or book, we may receive your name, email address, telephone or WhatsApp number, travel dates, party size, questions, preferences and information you choose to share. Email, WhatsApp and video communications may also contain message content and scheduling details.
When you request our free e-book or subscribe to our newsletter, we collect your email address and the consent records needed to manage and document your subscription (which may include signup time, confirmation time and technical information recorded by our email service).
Our website host and technical systems may process IP addresses, browser/device information, access times, error logs and essential technical identifiers for delivery, maintenance and security. We currently do not intentionally deploy Google Analytics, Meta Pixel or other optional advertising/analytics tracking tools. This statement must be checked against the live site and any embedded third-party content before publication.
Please do not send sensitive medical, financial or identity documents through general contact forms or messaging unless specifically requested through an appropriate secure process.
3. How we use information
We use personal information to respond to inquiries, organize and deliver bookings, communicate with clients, provide the requested e-book, send newsletters where permitted, maintain records, secure our website and systems, and meet applicable legal obligations.
Depending on the jurisdiction and circumstances, processing may rely on consent, the steps needed to respond to a request or perform a service, legitimate operational interests, or legal obligations. Applicable privacy laws may require additional disclosures or rights.
4. Free e-book and email marketing
We use ActiveCampaign to manage our mailing list and email campaigns. For the free e-book, our intended process is to tell you clearly at signup that the request includes a newsletter subscription and to use a double opt-in confirmation. You may unsubscribe at any time using the link in a marketing email or by contacting us. Booking and service communications are separate from promotional emails.
A free e-book request should not be treated as blanket marketing consent unless the signup wording clearly describes the marketing purpose and the person affirmatively agrees. For Canadian recipients, consent, sender identification and unsubscribe requirements under CASL are particularly important. We maintain consent records to demonstrate how and when a subscription was obtained.
5. Providers and communications
Website hosting: Raidboxes GmbH, Hafenstr. 32, 48151 Münster, Germany, provides website hosting and related technical services.
Email and business productivity: Google Workspace is used for email and related business communications and records.
Email marketing: ActiveCampaign processes subscription details and sends newsletters and e-book-related communications on our behalf.
Messaging and calls: WhatsApp is used for inquiries, booking confirmations, messages, and audio/video calls.
Contact forms: Information entered in our website contact form is transmitted to us and may be processed through our website host and email systems. The specific form plugin and any additional processors must be verified.
YouTube: We currently use YouTube as a social media channel. If YouTube videos are embedded on our website, Google/YouTube may receive technical data when visitors interact with the embedded player; any embeds and their cookie behavior must be checked before publication.
We may also disclose information to independent service providers or professional advisers where necessary for the requested service, subject to applicable obligations, or when legally required. We do not sell personal information for money.
6. Cookies and tracking
The site may use cookies or similar technical storage necessary for security, session handling or basic operation. We do not currently plan to use optional analytics or advertising pixels. However, third-party embeds, fonts, plugins or hosting services may create additional cookies or connections.
7. International processing
Because our business serves international clients and uses providers in different countries, information may be processed in Panama, the United States, Germany and other locations used by our providers. Privacy protections may differ by country. We will implement legally required safeguards where applicable.
8. Retention and security
We retain personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected, to maintain our business and customer records, and to comply with applicable legal, tax, accounting, or regulatory requirements. We may also retain information where reasonably necessary to establish, exercise, or defend legal claims. When personal information is no longer required, we will delete or anonymize it where reasonably practicable. We use reasonable organizational and technical measures to protect information, but no online system is completely secure.
Where a person unsubscribes from marketing communications, we may retain limited information necessary to record and honor that opt-out.
9. Your choices and rights
You may contact us to ask about information we hold, request correction or deletion, withdraw marketing consent or raise a privacy concern. Rights and exceptions depend on the laws that apply to the specific circumstances. We will assess requests and respond as required by applicable law.
We do not assume that every U.S. state privacy statute applies to this business. If a law requiring additional notices, opt-outs or mechanisms applies, we will provide them.

Our services and website are intended for adults. We do not knowingly seek personal information from children under 13 through the website. Contact us if you believe a child provided information.
